Privacy policy
This policy explains how XNT handles personal information: what we collect, why, where it is kept, and how you can see or correct it. XNT is a business name of Xavier Normand Nehme, ABN 60 631 874 997, Sydney NSW (in this policy, "XNT", "we" and "us"). We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988.
What we collect
- When you send an enquiry: your name, business name, email, phone number and what you write about your business.
- When you book a review: your name, email, the time you choose and anything you add to the booking.
- When you become a client: contact and billing details, the agreement and statement of work, and the correspondence and notes needed to deliver the job.
- When you call or email us: your number or address and what you tell us.
We do not ask for sensitive information such as health, financial account or government identity details, and we ask you not to include it in an enquiry.
Why we collect it
To reply to your enquiry, arrange and run your Ops Review, quote, deliver and support the work you ask for, send invoices, keep the records the law requires, and improve how we work. We do not sell personal information, and we do not add you to a marketing list unless you ask to be on one. Any marketing email we send will have a way to unsubscribe.
How website enquiries are handled by automation
When you send the enquiry form, an automated system:
- sends you an email straight away to confirm your message arrived;
- uses an AI model (Claude, made by Anthropic) to draft a personal reply, which Xavier reads, edits and sends himself;
- records your enquiry in our enquiry log; and
- sends Xavier an alert with your name and what you need.
The automation only acknowledges and organises your enquiry. It does not make decisions about you, such as whether we will work with you or what you will pay. Those are made by a person. If you would rather deal only with a person, say so in your message or call 0435 090 088.
Client data inside your own systems
When we build for a client, we work inside the client's own accounts (for example their Google or Microsoft account, CRM and AI account). The personal information of the client's customers stays in those accounts and is handled under the client's own privacy policy and our service agreement. We do not keep a copy, and we delete anything we needed for the build when the job ends.
Where it is stored and who else sees it
We use these service providers, who store or process information for us:
- Google Workspace, for email, calendar and documents;
- Anthropic, for the AI model that drafts enquiry replies;
- Cal.com, for booking reviews;
- Cloudflare, which hosts this website and our domain;
- Xero, for invoicing and accounts.
Some of these providers store data outside Australia, including in the United States. We choose providers with strong security and contractual privacy commitments, and we only share what each one needs to do its job. We may also disclose information where the law requires it, or to our professional advisers.
This website
This site does not use analytics or tracking cookies and does not show ads. To display the page, your browser loads fonts from Google Fonts and a 3D graphics library from jsDelivr, so those services receive your IP address and browser details in the usual way. Our host keeps standard server logs for security.
How long we keep it
Enquiries that do not lead to work are deleted within two years. Client records are kept for five years after the work ends, because Australian tax law requires it, and then deleted.
Security
Accounts are protected with strong passwords and two-factor authentication, access is limited to the people who need it, and we do not store passwords or payment card details. If a data breach is likely to cause you serious harm, we will tell you.
Seeing or correcting your information
You can ask what personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing [email protected] or calling 0435 090 088. We will respond within 30 days. You can deal with us without giving your name where that is practical, though we will need a way to reply.
Complaints
If you think we have mishandled your information, contact us first and we will respond within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes
We will update this page if how we handle information changes, and change the date at the top.
